Damage Policy
Cibaria Store Supply Damage Policy
We understand that when the truck arrives with your new load that it is sometimes hard to the take the time to break the load down to look for hidden damage or missing products. To ensure that you get proper credit for what you have ordered, we recommend that you follow the procedures below:
1. First, do a visual inspection of the pallets. Cibaria straps each pallet with tape that says right on it "if seal is broken, check contents". If this tape is broken or missing, the trucking company may have taken apart the pallet and shipped the products off the pallet, putting the pallet back together to deliver to you. In that instance, you need to be very careful in your count and inspection.
2. If you have time upon arrival, tear apart the pallets and get an actual count and search for damage. You have approximately 15 minutes of free time with the driver so don't let them hurry you too much. If everything is fine, sign for the product.
3. If something is missing or damaged, if at all possible, take pictures of the damaged items. Also, make notes on the paperwork that the driver has you sign. If you do not notate the damages or missing items, it is very difficult to get credit. You don't necessarily have to indicate which specific item is missing. You can put a case count only ("34 cases received") or mark it with how many are missing ("missing 2 cases"). For damages, it is better if you can be specific ("1-17.5Liter 25 Star damaged and leaking") but if you can't tell, you can just mark it ("Boxes stained - will report damages later").
4. If you don't have time to break down the pallets upon delivery but it looks like everything is ok, it is best to sign the driver's paperwork with "Recieved in apparent good order but subject to further confirmation".
As soon as possible, check your load thoroughly.
5. Report any problems promptly. The longer you take, the harder it is to trace what happened and getting credit is less likely.
